Strategic planning and a skilled team implement project ahead of schedule

A regional insurance company needed to standardize its Microsoft applications and customized forms throughout its network of 4,000 agents and 7,000 employees in 15 states. In addition, they wanted to implement Microsoft Exchange and Outlook 2000 to enhance communications and collaboration throughout the company.
The challenges:
- Perform the work with minimal disruption to business.
- Schedule work during business hours and by appointment.
- Execute the upgrades and migrate existing data to the new applications.
- Implement the upgrades remotely.
Three IBS project leads developed procedures for upgrading four types of clients: general PCs, agent notebook computers, non-networked notebook computers and PCs requiring hard drive repartitioning. They also designed a database tracking system and a user manual for the implementation team.
CDs were created and distributed throughout the network containing the required application and forms files, along with scripted installation procedures for each type of hardware and user configuration.
An IBS-managed team of 32 consultants were first trained in the procedures and then executed the company-wide upgrade via remote access software and phones.
This coordinated effort was completed successfully ahead of schedule and under budget.
