SharePoint Modernizes Internal Communication and Improves Business Processes

The Client

Headquartered in Chicago, IL, Morton Salt is a leading global provider of salt for various industries, including food, agriculture, water conditioning, pharmaceutical, and highways, among others. With production facilities spread across the United States, Canada, and the Bahamas, the client’s Morton Salt Girl is one of the most iconic and recognizable brands in the world. Since 1848, they have been committed to improving their customers’ lives by practicing safety, quality, and service in their work.

The Challenge

Morton Salt lacked a way to manage their internal processes in a collaborative manner. They used a difficult-to-understand and outdated system to track new or extended materials. This system was not conducive to team communication and oftentimes messages would get lost in the employee’s inboxes. Numerous emails were sent out each day to address one issue. A far too common scenario that is illustrated in this video.

Eventually, the business process owner of Morton Salt decided to contact IBS to learn what could be done to modernize the system. Morton Salt had engaged IBS on previous SharePoint projects and they were confident in the Solution Group’s abilities to fulfill their requirements.

The Solution

Morton Salt engaged IBS to modernize their existing internal process by creating a customized SharePoint application. This would also allow Morton Salt to enhance the system with additional workflow functionality, making it easier for them to manage their business process internally. The new home page provides users with a tabbed navigation view by product status, allowing them to easily identify where the product is in the process and who has been assigned to review/approve it.

Authorized employees also have the ability to add a new product to the system.

Furthermore, IBS developed a “product details page” for the client. This page allows users to see details regarding who has already reviewed/commented on the product, along with any associated attachments. The forward question functionality lets the users select the reviewers to whom they want to ask a question, and the question is sent directly from the application, rather than the user having to go through Outlook. It also automatically provides a subject line link to the product to which question pertains. Having all of this functionality in one place saves countless man-hours and enables users to easily manage each product.

The Results

The new SharePoint application allowed Morton Salt to move away from outdated software. Employees receive less emails and can communicate more efficiently with one another in a collaborative environment. Comments can be found in a central location, rather than having to sift through various emails. Additionally, it is easier to manage group membership so that the correct people are receiving the correct notifications. The new system made an immediate impact on the process' efficiency.

Morton Salt is very pleased with their new SharePoint application and immediately engaged IBS to work on other projects including providing assistance in rolling out their Office 365 environment.
