IBS Implements SharePoint Solution to Better Organize Client Process


The Client

Combined Insurance Company of America is a leading provider of supplemental accident, health, and life insurance products. With offices throughout North America, Combined Insurance reaches a global clientele, their services offered across multiple continents. Since 1922, they have been committed to providing their customers with affordable insurance, expert knowledge, and peace of mind.

The Challenge

The client had previously used Lotus Notes to manage their IT service requests; however, their parent company decided to do away with the technology as it was becoming outdated. Employees began emailing documents back and forth, which had become an unorganized and time-consuming process. Additionally, workers would have to go through multiple layers to get the approval and auditing or tracking service requests was extremely difficult. Combined Insurance needed a new, more efficient and automated way to manage and track these requests.

Combined Insurance had engaged IBS before, so they knew they could depend on the IBS to provide a comprehensive and cost-efficient solution.

The Solution

After carefully analyzing the list of requirements given to them by the client, IBS decided the best way to service Combined Insurance’s needs was to create a SharePoint site with custom workflow and custom forms. IBS took the list of complex business rules from the requirements document and organized them by department, title, and type of service, increasing the client's organization and efficiency.

Upon launching the SharePoint 2013 application, users are presented with a home page that allows them to view and filter all of the IT service requests in the system. Users can quickly and easily identify request statuses and see who is responsible for next steps.

IBS also generated an editable IT service request form and sorted users into groups who were given the correct permissions to view, modify, and/or audit the service requests. This was done to ensure that modifications were being made only by authorized users of the system but everyone could view the information. Below is a sample of the Read-Only view:

Provided the user has permissions to edit a request, they will have additional fields displayed. This was done to ensure that only appropriate IT users had the ability to enter/modify specific field values. Also note the ability to Save and continue the work later or to request a revision.

Additionally, the SharePoint site provided the client with an automated workflow that included the functionality to accept, deny, or revise requests. IT managers and owners could also review the service requests and sort them into the proper prioritization.

The Results

The new SharePoint application allows the client’s employees to easily manage, modify, and audit IT service requests.

Combined Insurance was very pleased with the new SharePoint site. They have expressed interest in working on additional SharePoint projects with IBS and already had another SharePoint project lined up upon completion of this project.
